6、th a view to strengthening the COWI brand.The manual also serves as a tool to simplify the creation of PowerPoint presentations for individual users,enable the seamless transfer of PowerPoint data formatted to a common standard,for all to use.NoteTo complement this manual,a PowerPoint data bank,base

7、d on a“Digital Asset Management”system is planned.The system will enable users to access existing PowerPoint presentations and reuse complex and time consuming slides.To accomplish this,it is essential that future COWI PowerPoints adhere to the guidelines of this manual.This manual is designed to be

8、 used when designing COWI-specific PowerPoint presentations and not as a general PowerPoint tutorial.However,a range of the most effective methods and tools required to create professional looking PowerPoint presentations,are covered.An existing basic knowledge of PowerPoint is required.This manual

10、speaking there are two basic types:accompanied and unaccompanied PowerPoint presentations.This manual has been compiled for accompanied PowerPoint presentations.Accompanied PowerPoint presentationsIn this respect,PowerPoint should be viewed as nothing more or less,than a“visual aid”,that simply supp

11、lements the speaker.The routined speaker,who is experienced in his/her subject,will often require little more than a basic PowerPoint in the form of headings and bullet points with the support of a straightforward graphics.As most presentations are given to an audience using a projector,this makes d

12、emands on legibility,due to the often difficult lighting conditions and varying viewing distances.The PowerPoint design therefore has a graphic language that shares a familiarity with i.e.signs and posters.This means that graphics are likely to appear relatively crude,and therefore requires a visual

13、 makeover to ensure all graphics fullfills their purpose-functionally as well as aesthetically.The accompanied PowerPoint has strengths in animation.Animations can create an area of focus by highlighting a particular point.This does,however,require perfect synchronisation between the speaker and the

14、 animation if the presentation is to run seemlessly.Generally speaking,it can be said,that the degree of animation used should be directly proportional to the speakers routine and acumen on the spoken subject.The use of any animation is very much a question of individual character,but be cautious;an

15、y uncoordinated animation can spoil the impression of even the best designed PowerPoint presentation.Be careful not to create an overload of information.Bear in mind that the audience are expected to read the content while being addressed.This means that large amounts of text and or complex graphics

16、 in PowerPoint are not the ingredients for communicating effectively.So,refrain from using the PowerPoint presentation itself as your own notes.Instead,use the“Notes Pane”for speaker notes,limiting the use of PowerPoint itself to cues and bullet points.Your notes can be printed using the“Notes Pages

17、”print function and have these in front of you when presenting.Note:Naturally,the accompanied PowerPoint will not work optimally without its accomplice,the speaker.Should the presentation be made either unaccompanied or published in a printed form,then additional explanatory text should be added.,Ty

18、pes of PowerPoint presentations,6,03.07.04,Publisher:COWI Corporate Communication,Introduction,The unaccompanied PowerPoint presentationIn many respects an unaccompanied PowerPoint stands in stark contrast to the accompanied.Obviously,the biggest difference is the need to include all the necessary i

19、nformation to fully understand the content.On the other hand,the unaccompanied PowerPoint is often interactive.Here,interaction mainly means giving the user control over the timing of the presentation.This requires careful editing in terms of the amount of information contained on each slide.This al

20、so applies to the accompanied PowerPoints.The unaccompanied PowerPoint is also ideally suited for multimedia applications.Furthermore,the choice of media and the viewing distance play an important role in the unaccompanied PowerPoint.Typically,a PC monitor will be the media.This allows for a conside

21、rable amount of information,of high graphic complexity on each slide.A parallel can be drawn between the type of graphic communication of an unaccompanied PowerPoint and that of i.e.websites,than what would be characteristic of the accompanied PowerPoint.This section of COWIs PowerPoint manual,by th

23、S Office suite,has made the program a generic brand,this,ironically,has resulted in many users not giving PowerPoint due credit as a professional communications tool.PowerPoint presentations convey a companys level of communication,in the same manner as other professional media,such as websites,annu

24、al reports etc.and should therefore abide by the same high requirements to quality.So,contrary to common belief,there is no mitigating circumstances for promoting less than professional visual communication in PowerPoint.For that reason,please adhere to the manuals guidelines and always use professi

25、onally made illustrations and photos,especially when making external and public presentations!It takes very little to compromise a presentation.A single“homemade”illustration,can reverse the good impression,even of an otherwise perfectly designed PowerPoint.Presentations design for external useThe q

26、uality of visual communication highly influences how a company is perceived and ultimately even affects share price.For this reason,it makes good business sense to use professional designers when creating important presentations for external use.If an independent designer is briefed and prepared usi

28、 a number of important conditions relevant to PowerPoint.This is both generally and more specifically about the use of the manual.Next,a number of working examples are available,based on typical COWI slide types-all compiled as variations from a predefined master set.Furthermore,the manual assists w

29、ith comments,where relevant,to a particular example.These comments are displayed in the“Notes Pane”window at the bottom of the PowerPoint interface.If the“Notes Pane”window is not visible,then it can be activated by clicking on the“Panes”icon in the bottom left-hand corner of the PowerPoint interfac

30、e.The creation of COWI PowerPoint presentationsThe manuals working examples make up the basis upon which all new COWI presentations should be created.New presentations are created by choosing the slide designs in the manual that are appropriate for a new presentation.The remaining slides are deleted

31、 and the presentation is saved under its own file name.The manuals existing text and graphics can then be adapted to the actual content.Exceptions to the above method are slide types such as“Title Master”,“Bulleted List”,“Title Only”and“Blank”.These can all be inserted directly from the“New Slide”me

32、nupoint under Insert,and will be correctly formatted in accordance with the definitions in the manual.Note:The above procedure,is determined by an inherent PowerPoint 2000 and partly 2002 limitation.This is the case for only one predefined master slide set,as well as the lack of options available to

34、personal development within the manuals framework.In addition to this even the most comprehensive manual must allow for unforeseen circumstances.Situations will no doubt occur,where the manual will prove inadequate.Here the user must decide how best to tackle the specific design problem.The manuals

35、intentIn circumstances where the manual proves inadequate,it is important to interpret the intent of the manual.The manuals intent can be interpreted simply by asking the question:“How would the specific design problem have been solved,had it already existed in a manual?”.This is,of course,easier sa

36、id than done if you are not a professional designer.However,you can make considerable progress by seeking inspiration from the manuals existing designs.Custom design solutionsPowerPoint can,in some instances,be so demanding that neither the manual nor an interpretation of its intent will suffice whe

38、he catalogue contains themed groups,that cover all COWI business areas.This will enable individual departments to define a unique profile by choice of images.Implementation:The images are not created with any particular illustration purpose in mind,but can be used to ad mood and style to presentatio

39、ns.Be sensitive when creating a reasonable balance between factual content and images,so the essence of the message remains clear.Design:All photos are available in two versions,colour and duotone.All the colour and duotone photos,are specially calibrated to a style that is dictated by the PowerPoin

40、t manuals basic colour scheme.The result is a consistency between images,irrespective of subject or motif,that can be freely assembled to create a consistent impression without disrupting the presentation.Formats:Images are proportioned precisely to the manuals five image modules and do therefore no

41、t require any further adaptation before use.Go to guides(shortcut:“control-G”)before inserting image.See slides no.85-93,under“Image modules and inserts”Scope:There are presently 150 photos in the collection.This is built on 15 basic photos in 10 variations(5 different image modules and two colour v

42、ariations-colour and duotone).Access:If the PowerPoint design manual is installed correctly,accessing the photo catalogue can be achieved directly on the PC using PowerPoints“Clip Organizer”:Click on the“Insert Clip Art”icon in the“Draw”lower menu bar or go to the top menu bar and choose“Insert/Pict

43、ure/Clip Art”.The“Insert Clip Art”pane opens at the right-hand side of the screen.Click the“Clip Organizer”icon at the bottom of that pane,and navigate to the COWI-folder in the“Shared Collections”folder.The graphic can now be inserted with a simple“Drag and Drop”action.,COWI image photos&placement

44、modules,11,03.07.04,Publisher:COWI Corporate Communication,Features,In recognition of the extensive use of ClipArt in PowerPoint presentations,COWI has decided to protect its CVI by pre-empting the situation and has included its own ClipArt collection in place of Microsofts.The COWI ClipArt collecti

45、on is colour coordinated to fit the design manuals colour scheme,and is available as scalable WMF files.The collection presently comprises of more than 200 illustrations in 9 categories.AccessThe ClipArt collection is accessible through PowerPoints own“Clip Organizer”,on the local PC.Click on the“In

46、sert Clip Art”icon in the bottom“Draw”menu toolbar or go to the top menu toolbar and choose on the menu“Insert/Picture/Clip Art”.The“Insert Clip Art”pane opens at the right-hand side of the screen.Click the“Clip Organizer”icon at the bottom of that pane and navigate to the COWI-folder in the“Shared

47、Collections”folder.The graphic can now be inserted with a simple“Drag and Drop”action.Colour changeTo change the colour of the Clip Art,use the command“Recolour Picture”.This function presents a quick and simple method to a global colour change for each of the manuals colours.Any alteration to the g

48、rey line colour is not recommended.Furthermore,only use the lightest of colours from the palette as background colours.right-click the mouse,choose“Format Picture”on the menu,choose the“Picture”tab from the dialog box,click the button“Recolour Picture”,and the“Recolour Picture”dialogbox will appear.
