7、continued and increasing business with you.Truly yours,Business Letter,商务信函是商业活动中对外交往最主要的书面表达方式之一。规范得体的商务信函代表一个公司和企业的整体形象,即“Company represents on paper”。1.正式商务信函的格式:,Business Letter,1)信头(The heading):信头就是指书信中发信人的地址和发信的日期等。2)编号(写信人的名字缩写)和日期(The sender name and the date):是为了方便今后查询信件用的。3)封内地址(The insid

8、e address):指收信人的姓名和地址,一般写在信笺的左上方。4)事由(The subject heading):也就是我们通常说的主题,可以直接写明信件的重点,要写得简明扼要。5)称呼(The salutation):指对收信人的一种称呼。6)开头语(The open sentences):开头语没有统一的格式,但习惯上先用客套的语句把收到对方来信的日期、主题及简单内容加以综合叙述,使对方一目了然这是答复哪一封去信的。如果是第一次通信,也可以利用开头语作,Business Letter,必要的自我介绍,并表明目的、要求。开头语一般与正文分开,要求简单明了。7)正文(The body of

9、 the letter):这是信的主体。8)结尾语(The complimentary close):一般用来总结文本所谈的事项,提示对收信人的要求,如“希望来信来函订货”、“答复询问”等。正文结束后,另起一段写结尾语。9)结束语(The complimentary close):是结束信函时的一种客套,如:“Sincerely,”“Best Regards,”or“Yours Truly,”。10)签名(The signature):写在结束语的下面,签上写信人的名字。签名的下面,最好写上发信人的职位。11)附件(Enclosure):如果信中有附件,应在左下角注明 Encl.或Enc.。,

10、Business Letter,2.商务信函写作的要点写商务信函不要求使用华丽优美的词句,用简单朴实的语言,准确的表达自己的意思,让对方可以非常清楚地了解想说什么就达到了目的。写商务信函需要注意以下几方面内容:1)简明扼要商务信函一定要写得简明扼要,短小精悍,切中要点。2)语言朴实简洁要用简洁朴实的语言来写信函,让信函读起来简单,清楚,容易理解。一般多用常见的单词,避免生僻或者拼写复杂的单词。多用短句,短句更容易理解。,Business Letter,3)信息精确商务信函常常涉及数据或者具体的信息,比如时间、地点、价格、货号等等,要尽可能做到精确。这样会使交流的内容更加清楚,有助于加快工作的进
